- Quick Transaction: a fast, compact sheet — the amount field is ready for input the moment it opens.
- Quick Transaction: records a one-time transaction on the date you pick. Today or an earlier date is recorded straight away; a future date is scheduled for that day and waits in Bills until you process it.

- Choose between editing entire series or single occurrence.
- Modified occurrences show both original and new amounts.
- Changes only affect selected occurrence or future ones.
- Undo a single occurrence’s change with Remove Adjustment, or swipe left on a modified occurrence and tap Reset — it returns to the bill’s normal date and amount.
- Skip option available to move to next occurrence.
Pending Transactions
- Mark a transaction as pending when it has hit your bank but hasn’t cleared yet — a card authorisation, a tab with the tip still settling, a deposit that isn’t available yet.
- In Bills or on the Dashboard’s Upcoming card, swipe right and tap Pending, or use the menu (⋯). In Cashflow, press and hold the transaction.
- Pending transactions move to the top of Bills, Cashflow and the Dashboard’s Upcoming card, deposits first, with their scheduled date crossed out.
- The running balance counts pending transactions first, so every row below already includes them.
- While anything is pending, your balance is labelled Posted and an Available line shows under it: your posted balance plus pending deposits, minus pending charges.
- Pending never changes your posted balance. Process the transaction when it clears, and that is when the posted balance moves.
- Changed the amount because the final charge was different? Edit the occurrence — it stays pending.
- To undo, choose Mark as Not Pending the same way.
Transactions Tab

iCloud Sync
- Personal Cashflow automatically syncs across all your iPhones and iPads signed in to the same Apple ID.
- Sync uses your private iCloud account — your data never touches our servers.
- A small cloud icon appears in the navigation bar while syncing; it stays hidden when sync is idle and healthy.
- You may briefly see two copies of new data on the receiving device while sync settles — this resolves automatically within a few seconds.
- Updates from another device appear when you open or return to the app. Live updates while the app is in the foreground are limited by Apple's CloudKit framework.
- If sync has a problem, the cloud icon turns red. Tap it to see details. Most sync issues clear up by themselves.
- Sync is not a backup: a mistake on one device is copied to every device. If your data ever looks wrong, restore a backup (Settings → Backups).
- Want someone with a different Apple ID, like a partner, to see your cashflow? See Sharing below.
Sharing
- Share your cashflow with someone you trust, like a partner: Settings → Sharing → Share My Cashflow, then send it by Messages or Mail.
- They see what you see: accounts, bills, the projection, the calendar and your transaction history, including notes. They can’t change anything.
- Viewing is free. The person you invite needs the app and an iCloud account, but not a subscription.
- Send the invitation through Messages or Mail. A copied link on its own opens for no one. If sending doesn’t work, Invite by Email Address adds them first and gives you a link that opens only for them.
- Their view updates whenever you use the app, and shows when it was last updated. They can pull the newest copy with the refresh button on the banner.
- Manage People lists everyone who can view. Remove one person, or Stop Sharing to remove everyone and delete the shared copy. Your own data isn’t touched.
- Shared with you? The banner at the top says whose cashflow you’re viewing. If you have your own cashflow too, tap the initials button at the top of the Dashboard, Cashflow or Bills to switch between them.
- To stop viewing someone’s cashflow, open Settings while viewing it and tap Stop Viewing. It disappears from your device; their data isn’t changed.
Settings
- Open Settings from the gear icon in the navigation bar at the top of any screen.
- Dashboard Settings: Tap the sliders icon on the Dashboard to customize sections.
- Each settings section is displayed in its own card for easy navigation.
- Drag sections in the “Section Order” card to reorder them on your dashboard.
- Select multiple accounts to display balances on the dashboard.
- Toggle visibility of each dashboard section independently.
- Cash Flow Settings: Tap the sliders icon on the Cash Flow tab to set default duration and chart annotations.
- Account Management: Create, edit, and delete accounts.
- Set favorite account for default transaction assignment.
- Category Management: Create, edit, and delete categories.
- Chart Annotations: Toggle Highest, Lowest, and Negative Balance markers in Dashboard and Cash Flow Settings.
- Auto Category Matching: Toggle to enable or disable automatic category suggestions when adding transactions.
- Backups: a copy of your data is saved on this device once a day, and the last 14 are kept. Settings → Backups lists them; tap one to restore it. Restoring replaces your data on all your devices, and your current data is backed up first so you can undo it.
- Appearance: Choose between Light, Dark, or System theme.
- Accent Color: pick any color you like from the color wheel — it recolors buttons, charts, the tab bar and positive amounts. It is applied when you close Settings, and Reset to Default Green puts it back.
- Category colors are a color wheel too — Settings → Categories → pencil.
- All settings are saved automatically.
